The process

A typical switch takes around four weeks. Here's what happens at each stage — and what we need from you.

Week 1

Initial conversation

A relaxed call to understand your business, your current setup and what's not working. No pressure, no scripts. We ask questions to make sure we're the right fit for you — not just to sell you a package. If we don't think we're right for you, we'll say so.

Week 1–2

IT estate review

We review your current IT setup — either remotely or on-site, depending on what's needed. We want to understand what you've got before we propose anything. This also means we arrive on day one with proper context, not a blank page. If you'd like a more thorough, documented review, this is also available as a standalone IT Clarity and Planning Review.

Week 2

Clear proposal

You receive a written proposal with fixed pricing, a clear scope, and a recommended package. No hidden extras, no vague promises. You know exactly what you're getting and what you're paying before you sign anything. If something doesn't look right, we'll talk it through and adjust.

Week 3

Notice to your existing provider

Once you've agreed to move forward, we help you give notice to your current provider. We'll advise on how to handle that conversation and what to request from them — including full documentation, access credentials and any data that belongs to you. Your data is always yours. A professional handover is standard practice, and we'll handle any friction if it arises.

Week 3–4

Onboarding and setup

We deploy our monitoring and management tools, configure your systems to our standards, and set up your team's access to the client portal. We'll visit on-site if needed. Your team gets a brief introduction to how to reach us and what to expect — so nobody's left wondering who to call when something goes wrong.

Week 4+

Go live — and keep improving

From go-live, your team has full helpdesk support. Within the first 90 days we'll also complete an initial technology review — giving you a clear picture of what we found, what we've already improved, and what we'd recommend tackling next. This becomes the foundation of your ongoing roadmap.

What we need from you

We manage the transition process. Your main job is to be available for a few conversations, introduce us to the right people in your business, and give us the access we need to get started.

We keep your team informed throughout so nobody is caught off-guard. And we're available to answer questions at every stage — from you and from your team.

Realistically, the switch should take no more than half a day of your time spread across the four-week window.

Access to your systems

We'll need admin credentials to key systems to complete the review and set up monitoring. We'll agree what's needed in advance.

Notice to your old provider

You'll need to give formal notice. We'll advise on the wording and what to request from them as part of the handover.

A paid, one-day review of your entire IT setup — what you've got, what it costs, where the risks are, and a clear roadmap. Useful if you want an independent picture before talking to any supplier, or if you need to present a plan to your board or leadership team. The fee is deducted from your first three months if you become a client.

Common concerns

Things people worry about
before switching.

It happens occasionally, and we know how to handle it. IT providers are professionally obliged to cooperate with a handover — your data and your documentation belong to you, not them. If there's resistance, we'll advise you on how to escalate it. We've navigated difficult handovers before and it's never stopped a transition from completing.

In almost all cases, no. We plan the transition to avoid any disruption to your day-to-day operations. The monitoring and management tools we deploy don't require downtime. If any work does need to happen out of hours, we'll agree that with you in advance.

Your data stays where it is. We take over managing and protecting it — nothing gets migrated unless you specifically want to change platforms. One of the first things we do is verify that your backups are working properly, so you have peace of mind from the start.

This is worth reviewing carefully. Many IT contracts have break clauses, or may not be as binding as they appear. It's worth checking the terms — we can help you understand what you're actually committed to. Some businesses also choose to plan ahead and time their switch for when the contract expires, which we're happy to support.

They won't be. We provide helpdesk support from the moment your contract with us starts — so there's no gap in cover. Your team will know who to call, how to reach us, and what to expect from day one. We make sure of that during the onboarding process.

Bad transitions almost always come down to one thing: the new provider started without properly understanding the existing setup. We invest time in the review stage specifically to avoid this. We won't rush you through onboarding to start billing — we'd rather take an extra week and get it right.
